* This is a Hybrid position and would require 2 days on-site in our Corporate office in Oak Park, IL. The Executive Assistant will provide high-level administrative support to the President and other Executive leadership members. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.


  • Provides high-level administrative support and assistance to President, CFO, CCO and other assigned leadership staff with a high level of professionalism and in a manner that reflects positively on the organization.
  • Coordinates travel arrangements, prepares itineraries, plans logistics, and submits expense reports.
  • Schedules appointments, organizes, maintains, and updates daily calendars and schedules, resolving any scheduling issues.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews content, determines importance, and summarizes and/or distributes to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Prepares Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Manages sensitive matters and information with a high level of confidentiality and discretion.
  • Manages complex office administrative work requiring the use of independent judgment and initiative.
  • Performs additional duties as assigned by executives.


  • Bachelor's degree required or equivalent work experience
  • 5 years of experience in administrative support functions
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms
  • Very strong interpersonal skills and the ability to build relationships with key stakeholders
  • Excellent communication and time management skills
  • Proven ability to meet deadlines
  • Ability to function well in a fast-paced environment
